In this role, you will provide essential organizational, clerical, and logistical support to the Office of Homeless Services. The Administrative Assistant/Coordinator will help ensure smooth day-to-day operations by coordinating meeting materials, documenting discussions, managing administrative processes, and supporting efficient communication across teams and stakeholders.
Responsibilities
Prepare, format, and distribute meeting agendas, supporting documents, and materials for the CoC, Homeless Planning Council, and related committees
Attend scheduled meetings and document clear, accurate, and detailed meeting minutes
Maintain organized and up-to-date records of agendas, meeting minutes, and supporting documentation
Coordinate meeting logistics, including scheduling, virtual meeting setup, and participant communication
Ensure timely distribution of meeting materials, follow-up items, and related correspondence
Provide administrative and clerical support to assist with daily office operations and special projects as needed
Requirements
Experience preparing meeting agendas and documenting formal meeting minutes
Strong written communication, organizational, and time management skills
Exceptional attention to detail and ability to maintain accurate records
Ability to manage multiple priorities while meeting deadlines in a fast-paced environment
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook
Experience using virtual meeting platforms such as Microsoft Teams and Zoom
Experience working within a governmental, nonprofit, or board/committee environment, preferred
Ability to communicate and collaborate effectively with diverse stakeholders, preferred
Professionalism and discretion when handling sensitive or confidential discussions, preferred
Additional Information
Hours: Monday - Friday 8 am - 4:30 pm
Pay rate: $20/hour
